Policy in relation to Gala Entry Fees

1. The Head Coach will circukate an Eligibility Report of swimmers who qualify for a specific competition to the Competition Sceretary/ies.
2. This report will be circulated by the Competition Secretary to parents of swimmers who will advise of their childs availability to attend by the appropriate closing date advised. 
3. Failure to respond in time will mean that you child WILL NOT be available to attend the competition and will not be included in the entry report. 
4. The coaches will then prepare the Entry Report for those swimmers who have advises of their availability to attend and will forward same to the Competition Secretary for circulation to parents. 
5. Parents will have 24 hours to query any entries directly with the coach before entries will be forwarded to the gala organiser.
6. These entries will then be forwarded by the Head Coach to the Gala Organiser as entries and parents will be liable for all their childs entry fees at this point regardless of a swimmer not showing or "scratching" (withdrawing) from the competition / event. 
7. If a swimmer having entered and cannot compete, they will need to advise the Competiton Secretary in advance of the competiton to avoid a penalty of 50 EURO for each event not competed in (see No 8), who in turn will advise the gala organiser. 
8. Once a swimmer is entered and a swimmer fails to advise in advance of his/her event that they are unable to attend may be fined 50 EURO by Swim Ireland for not showing or not advising in advance of the competition of their inability to attend. 
9. Once the final entries are advised the Club Treasurer will issue an Invoice via Stripe to the email held on file for the parent of the child to cover the cost of the entries that each child has been entered into. Please note that the club will have paid out to cover the cost of these entry fees and it is important that parents pay the invoice as quickly as possible to re-imburse the club. 
10. The only cost that will not be included on the Invoice will be the cost of any relays ran on the day of the event that some children will take part in. Post the event a separate invoice will issue to the relevant children/parents with regards to the relay entry fee.
